Privacy notice

Draft for review — the full PDPA notice will be finalised before launch.

Analytics

With your permission we use Google Analytics 4 to understand how the club site is used — which pages are visited and when someone registers, logs in, adds a bike, uploads a photo, posts or claims a sticker. We never send your name, email, phone/WhatsApp number or membership number to Google. Advertising features and Google signals are switched off.

Analytics cookies are only set after you choose Accept. You can change your choice at any time:

Your language choice is stored in a cookie (NEXT_LOCALE) for one year so the site opens in the same language next time. It contains only the language code.

Member information

Members give us an email address, a nickname, country and state, birth year, WhatsApp number (used only by club admins to contact you, never public) and details of their motorcycles. We use them to run the club: your membership number, profile, garage and sticker claims. Postal addresses for stickers are deleted 90 days after delivery.

Public profiles

Every active member has a public profile page, reached from their name on posts, comments and motorcycles. You can hide it at any time in My Club › Public profile.

  • Shown on your profile: nickname, membership number, avatar, state and country, owner or enthusiast, join date, bio, and your published motorcycles and posts.
  • Never shown: your email, WhatsApp number, birth year, postal address, purchase details, moderation records, reports, or what you've liked.
  • When you hide your profile, the profile page is no longer available to others, your name is not linked to it, and your avatar, state, country, bio, owner status and join date are not shown publicly. Moderators can still see it.
  • Hiding your profile does not make you anonymous: your posts, comments and motorcycles stay public with your nickname and membership number until you hide or delete them. Copies of your avatar may stay in browser and network caches for a short time.
  • Suspended and deleted members have no public profile.
  • Likes are counted publicly as a number only. Your list of likes is private to you (My Club › Liked). Likes from suspended members are not counted while they are suspended.

Warnings, suspensions and moderation

If you break the club rules, moderators can hide or remove a post or comment, send you a warning, or suspend your membership for 1, 3, 7 or 30 days (or, rarely, until further notice). You always see the reason in My Club › Account standing and in your notifications. We never show who made the decision.

You can appeal a warning, a suspension or a hidden or removed post or comment once, within 30 days — also while suspended. An admin reviews it, preferably not the person who made the decision, and you are told the outcome. Notes the moderators write for each other are never shown to you.

Your data and your choices

In My Club › Account you can download everything we hold about you as a readable file (including your warnings, suspensions and appeals), and ask for your account to be deleted. Deletion happens after 7 days (you can cancel until then): your login, profile, contact details, posts, comments and photos are removed.

A deletion can wait: for at most 30 days after the scheduled date while your membership is suspended (a timed suspension already running when you asked runs to its end), and for 30 days while a moderation review about you or your content is open.

An admin can extend a review hold by up to 30 days at a time, at most three times; any further extension needs a Super Admin, a written justification and a review date. If the club is legally required to preserve records (for example by a court order), a Super Admin can place a legal hold with a review date; the deletion then waits until it is released, and we may only tell you that a review is in progress.

What happens to your records after deletion

When your account is deleted:

  • Deleted at once: your login (email, password, sessions), profile, contact details, postal addresses, notifications, likes, and the text and photos of your posts and comments.
  • Redacted at once: the written reasons of warnings and suspensions, your appeals and the moderators' notes, report details and copies of reported content, and the free text of audit entries about you.
  • Deleted after 12 months: the remaining records of your warnings, suspensions and appeals and the closed reports filed by you or about you.
  • Kept: your membership number (retired, never given to anyone else) and audit entries reduced to what happened, when and by which role — no name, email, phone or written text.
  • Under a legal hold nothing is deleted or redacted until the hold is released.

Text written about you in another member's records (for example a moderator naming you in someone else's warning) cannot be found automatically and may remain there.
